Job Description

What you’ll do

Reporting to the Director of Finance, the Director of Purchasing is a key strategic leader responsible for overseeing all purchasing and warehouse operations across the SLS Barcelona hotel and its food & beverage outlets. This role ensures that procurement processes are efficient, cost-effective, and aligned with company policies, while maintaining the highest standards of service and quality.

 

  • Build and maintain the purchasing system.
  • Develop, lead and manage the entire purchasing team.
  • Review purchase order claims and contracts for conformance to company policy.
  • Develop and implement purchasing and contract management instructions, policies, and procedures
  • Participate in the development of specifications for equipment, products or substitute materials
  • Resolve vendor grievances and claims.
  • Gather and analyze data, study sales and inventory records, identify suppliers, and stay on top of factors affecting supply and demand to forecast current and future costs of needed products and materials
  • Identify and interview potential suppliers to determine quality, price, reliability, and delivery terms, and make decisions to ensure that needed supplies arrive in time and at the right price
  • Administer bidding process and contracts for vendor performance/compliance within established limits for the purpose of securing items and/or services within budget and in compliance
  • Responsible for the procurement and expediting of all material supplies, equipment and services
  • Assists Finance/Accounting department in establishing purchasing policies, procedures, and controls in accordance with the company policies and needs
  • Oversee procurement compliance and ensure adherence to state regulations, brand standards, and internal audit controls.
  • Recommends substitutions for appropriate considerations, requests and analyzes quotes from vendors for unusual item.

Qualifications

What we are looking for...

  • College Degree in Business, Hospitality, or Related field preferred.
  • At least five (5) or more years of Purchasing management experience for a hotel and F&B, preferably in an upscale or lifestyle brand hotel
  • Deep knowledge of procurement systems and tools, with proficiency in Opera, Microsoft Excel, Word, and Outlook.
  • Proven team leader with a high level of energy and motivation, a natural at managing and inspiring others in a way that gets the best out of them.
  • Ability to multitask, work in a fast-paced environment, meet deadlines and have a high-level attention to detail.
  • You combine analytical and methodical thinking with high attention to detail and a solution-focused approach.
  • Excellent verbal and written communication skills. Fluent in Spanish and English.

About the role: We currently have an opportunity for a talented Purchasing Coordinator to join our team! Responsible for coordinate the overall operations of the Purchasing, receiving and storeroom Department to ensure that all departments of the hotel have adequate supplies to perform their duties in an efficient manner. Maintain the highest level of integrity and transparency in dealing with business partners and ensure that business is awarded fairly. What you will do: Coordinate daily operations of the Purchasing, Receiving, and Storeroom departments to support smooth hotel operations. Ensure compliance with all local and corporate policies, internal controls, procedures, and financial safeguards relevant to purchasing activities. Verify that all purchasing contracts specific to the hotel have proper authorization and documentation; conduct and manage competitive bidding processes as required, and ensure all bids are filed appropriately. Monitor and maintain appropriate par levels for all inventoried items, aiming to minimize inventory levels without compromising service or efficiency. Process timely replenishment of food, beverages, groceries, sundries, and non-food stock items; raise Purchase Orders for review and approval by the Director of Purchasing. Continuously research and source new products and suppliers to enhance quality, reduce costs, and support hotel sustainability or innovation goals. Regularly review and update pricing from suppliers to ensure competitiveness and accuracy in the purchasing system. Conduct periodic quality checks on delivered goods, ensuring compliance with hotel standards and addressing any inconsistencies or defects. Collaborate with the Accounts Payable team to research and resolve any discrepancies in pricing, quantities, or invoicing. Maintain strong vendor relationships while ensuring fairness and ethical conduct in all procurement processes. Support cost-control initiatives by identifying and recommending process improvements and cost-saving opportunities. Assist in the development and maintenance of product catalogs and approved supplier lists. Maintain accurate and up-to-date documentation for all procurement activities, including contracts, approvals, and delivery records. Perform any additional tasks as assigned by the Director of Finance, Assistant Director of Finance, or Director of Purchasing.
