What's the job?

As Groups Coordinator you will coordinate the reservations, room blocks and contracts for large groups.



You'll report to the Assistant Commercial Director & Commercial Director.



Your day-to-day

* Manage and coordinate all group requests (corporate, incentives, conferences, weddings, and social events).

* Prepare and send quotations, contracts, and personalized proposals in accordance with hotel standards.

* Coordinate with internal departments (banquets, F&B, rooms, housekeeping, front office, revenue management) to ensure flawless execution of events.

* Accurately produce and revise all sales contracts, rate agreements, and banquet / catering event orders.

* Follow up on group payments, deposits, and invoicing in line with hotel policies.

* Monitor compliance with contractual deadlines and cancellation policies.

* Update the hotel management system (PMS/CRM) with reservations, changes, and group logistics details.

* Conduct site inspections with prospective clients and attend planning meetings.

* Maintain the highest service and hospitality standards in line with a five-star property.

* Achieve personal and team goals as assigned.

* Maintain group blocks, rooming lists, and reservations in the system.

* Work closely with other hotel departments to facilitate services agreed upon by the sales office and clients.

* Negotiate guest room rates, meeting room rentals, function space, and/or hotel services within approved booking guidelines.

* Follow up with clients regularly before, during and after departure to ensure satisfaction and secure future bookings.

* Prepare for each group's arrival, prepare group history, billing information, deposits, filing, VIP information, correspondence, etc.; interact with booking contacts as needed. Correctly record group rooms and revenue in the property management system.

* Support the Director of Sales in commercial strategies and group acquisition campaigns.



Qualifications & Skills

* Bachelor's degree in hospitality or related field.

* Previous +2 years' experience in group sales, event coordination, or hospitality sales, ideally within a luxury hotel environment.

* Must be fluent in local language and English, additional languages will be highly valuable.

* Experience with entertainment groups will be highly valuable.

* Strong communication and negotiation skills.

* Excellent organizational skills and attention to detail.

* Proactive, positive, energetic, dynamic, emphatic, team-worker and with passion for service.

* Ability to work and manage multiple projects simultaneously.

* Knowledge of hotel management systems (PMS/CRM, Opera, Delphi, or similar).

Como Comercial Interno , organizarás y coordinarás los eventos en el hotel, incluyendo el presupuesto, la facturación y la gestión de los pedidos de servicios. Será responsable de la experiencia de los clientes, desde la planificación del evento hasta la gestión de las necesidades de los clientes durante las reuniones y el seguimiento posterior al evento. ¿Qué tendrás que hacer? Gestionar las reservas y los eventos confirmados por la Oficina de Ventas Global. Responder a todas las solicitudes de acuerdo con los SLA (Service Level Agreement). Elaborar el presupuesto para la celebración de eventos en el hotel. Recibir las peticiones de los clientes a través de visitas, agencias o solicitudes del Departamento de Grupos o Ejecutivos de Cuentas de MH E&amp;A. Negociar con los clientes los presupuestos relacionados con la organización de eventos, servicios del hotel, etc. Organizar visitas comerciales/visitas in situ a clientes actuales y potenciales del hotel con el fin de establecer contactos regulares y presentarles los diferentes servicios. Organizar eventos y actos especiales solicitados por los clientes, coordinando los diferentes departamentos del hotel implicados (cursos de formación, presentaciones, ruedas de prensa, entrevistas, etc.). Supervisar los salones e instalaciones instaladas para la celebración de eventos. Controlar las facturas relacionadas con los eventos organizados en el hotel. Resolver las incidencias de los ingresos de los clientes, contactando con ellos y con el Departamento de Administración de la empresa. Definir con el Director del Hotel, los precios de las salas de reuniones y salones del hotel, en función de su demanda y niveles de ocupación, fechas disponibles, etc. Presentar clientes potenciales al Director de Hotel / Director Comercial. En su caso, esta función también implicará la gestión y el entrenamiento activo de los miembros del equipo de Reuniones y Eventos asignados. ¿Qué buscamos? Al menos 2-3 años de experiencia en Front Office de hotel y/o áreas de Ventas/GEM, preferiblemente en un hotel de similar tamaño y complejidad. Licenciatura o diplomatura en Dirección Hotelera o equivalente. Imprescindible dominio del idioma local y nivel alto de inglés. Conocimiento práctico de varios programas informáticos (Microsoft Office, TPV, etc.) y sistemas de Front Office. Conocimiento de los principios de gestión de ingresos y políticas comerciales. Conciencia comercial. Excelentes dotes de comunicación. Orientación al servicio al cliente. Habilidades y técnicas de venta. Excelentes dotes de gestión y organización. ¿Qué tendrás que hacer? RESPONSABILIDADES DEPARTAMENTALES Planificar, organizar y gestionar las compras y servicios para los distintos departamentos del hotel. Atención a proveedores, atención a todos los departamentos del resort. Recepción de mercancías, control de la calidad y correcta entrega, tiempos de entrega, gestión documental de albaranes y facturas en el sistema, control de stock y rotación de productos. Atender pedidos internos, preparación de pedidos, (almacén central a departamento del hotel), gestión de la documentación de pedidos internos y traspasos entre departamentos. Almacenar correctamente los productos en el almacén de economato a la espera de distribución y uso. Organización, limpieza e higiene de los almacenes centrales. Resolución de incidencias. Inventarios. ¿Qué buscamos?
