What's the job?

As Groups Coordinator you will coordinate the reservations, room blocks and contracts for large groups.



You'll report to the Assistant Commercial Director & Commercial Director.



Your day-to-day

* Manage and coordinate all group requests (corporate, incentives, conferences, weddings, and social events).

* Prepare and send quotations, contracts, and personalized proposals in accordance with hotel standards.

* Coordinate with internal departments (banquets, F&B, rooms, housekeeping, front office, revenue management) to ensure flawless execution of events.

* Accurately produce and revise all sales contracts, rate agreements, and banquet / catering event orders.

* Follow up on group payments, deposits, and invoicing in line with hotel policies.

* Monitor compliance with contractual deadlines and cancellation policies.

* Update the hotel management system (PMS/CRM) with reservations, changes, and group logistics details.

* Conduct site inspections with prospective clients and attend planning meetings.

* Maintain the highest service and hospitality standards in line with a five-star property.

* Achieve personal and team goals as assigned.

* Maintain group blocks, rooming lists, and reservations in the system.

* Work closely with other hotel departments to facilitate services agreed upon by the sales office and clients.

* Negotiate guest room rates, meeting room rentals, function space, and/or hotel services within approved booking guidelines.

* Follow up with clients regularly before, during and after departure to ensure satisfaction and secure future bookings.

* Prepare for each group's arrival, prepare group history, billing information, deposits, filing, VIP information, correspondence, etc.; interact with booking contacts as needed. Correctly record group rooms and revenue in the property management system.

* Support the Director of Sales in commercial strategies and group acquisition campaigns.



Qualifications & Skills

* Bachelor's degree in hospitality or related field.

* Previous +2 years' experience in group sales, event coordination, or hospitality sales, ideally within a luxury hotel environment.

* Must be fluent in local language and English, additional languages will be highly valuable.

* Experience with entertainment groups will be highly valuable.

* Strong communication and negotiation skills.

* Excellent organizational skills and attention to detail.

* Proactive, positive, energetic, dynamic, emphatic, team-worker and with passion for service.

* Ability to work and manage multiple projects simultaneously.

* Knowledge of hotel management systems (PMS/CRM, Opera, Delphi, or similar).

Las tareas principales son las siguientes: Aumentar las reservas en el restaurante. Ejecutar el calendario de acción del plan de marketing. Revisión y mantenimiento de materiales publicitarios del restaurante en diversas áreas del hotel (cartas, poster, flyers, tótems…). Supervisar que se respete la imagen corporativa del restaurante (uso del logo de manera correcta, plantillas, tipografías…). Actualización de contenidos en web propia y webs colaboradoras (ElTenedor, Tripadvisor, Atrapalo…). Control de gastos + pagos a proveedores (cajas regalo, El Tenedor…). Gestionar la satisfacción del cliente, tanto online (email "opinión express", responder comentarios según protocolo de respuesta…) como offline (entrega cupón a clientes satisfechos, resolución de quejas in situ…). Mantener al día la base de datos (recogida de datos y actualización en El Tenedor). Ejercer como nexo de unión entre restaurante y otras áreas de negocio del hotel (informar de novedades y solventar dudas de staff, recepción, etc.) y trabajar con ellos como equipo para conseguir objetivos. Reporte semanal / mensual de acciones realizadas (informe comercial y de marketing). Requisitos: Estudios en turismo / marketing /comercio/ RRPP. Experiencia: De 1 a 2 años en hosteleria/administrativo/a. Orientación al cliente. Inglés alto + valorable otros idiomas. Habilidad en redes sociales. Disponibilidad inmediata. Responsable de maximizar los ingresos y la rentabilidad de los edificios asignados de apartamentos turísticos mediante la implementación de estrategias de fijación de precios, optimización de inventarios y análisis de datos. Este rol estratégico asegura que se logre un equilibrio óptimo entre la ocupación, los ADRs y la satisfacción del cliente, contribuyendo al crecimiento sostenible del negocio y a los targets fijados con los propietarios. Las principales funciones serán: 1. Estrategia de Revenue Management - Diseñar e implementar estrategias de precios dinámicos y de distribución para maximizar los ingresos y el RevPAR. - Optimizar la combinación de tarifas, ocupación y disponibilidad para garantizar el mejor rendimiento financiero siguiendo los targets marcados. - Identificar nuevas oportunidades de ingresos y tendencias de mercado para la cadena. 2. The Director of Sales is a key member of the Executive Committee and is responsible for defining, leading and executing the commercial strategy of Grand Hotel Central, a 5-star classic luxury property in the heart of Barcelona. The role encompasses Sales (Leisure, Corporate, Groups &amp; Events), Reservations and Revenue Management, ensuring total alignment between commercial objectives, brand positioning and profitability. The Director of Sales leads, coaches and develops the Sales, Reservations and Revenue teams, driving performance while maintaining the highest luxury service standards. This position plays a critical role in maximizing total hotel revenue, strengthening the hotel’s positioning within the luxury segment, increasing direct business contribution and ensuring sustainable long-term growth. KEY RESPONSIBILITIES Commercial &amp; Strategic Leadership Define and implement the overall Sales and Revenue strategy in line with hotel objectives, brand standards and market conditions. Lead the annual budgeting process, including rooms, F&amp;B, MICE and ancillary revenues, with full ownership of forecasting and commercial KPIs. Actively monitor market trends, demand patterns, competitor set and distribution landscape to proactively adapt strategies. Ensure total alignment between Sales, Reservations, Revenue, Operations and Finance. Sales (Leisure, Corporate, Groups &amp; Events) Oversee and drive all Sales activities across Leisure, Corporate, MICE and Events segments, ensuring achievement of budgeted revenues.
