What's the job?

As Groups Coordinator you will coordinate the reservations, room blocks and contracts for large groups.



You'll report to the Assistant Commercial Director & Commercial Director.



Your day-to-day

* Manage and coordinate all group requests (corporate, incentives, conferences, weddings, and social events).

* Prepare and send quotations, contracts, and personalized proposals in accordance with hotel standards.

* Coordinate with internal departments (banquets, F&B, rooms, housekeeping, front office, revenue management) to ensure flawless execution of events.

* Accurately produce and revise all sales contracts, rate agreements, and banquet / catering event orders.

* Follow up on group payments, deposits, and invoicing in line with hotel policies.

* Monitor compliance with contractual deadlines and cancellation policies.

* Update the hotel management system (PMS/CRM) with reservations, changes, and group logistics details.

* Conduct site inspections with prospective clients and attend planning meetings.

* Maintain the highest service and hospitality standards in line with a five-star property.

* Achieve personal and team goals as assigned.

* Maintain group blocks, rooming lists, and reservations in the system.

* Work closely with other hotel departments to facilitate services agreed upon by the sales office and clients.

* Negotiate guest room rates, meeting room rentals, function space, and/or hotel services within approved booking guidelines.

* Follow up with clients regularly before, during and after departure to ensure satisfaction and secure future bookings.

* Prepare for each group's arrival, prepare group history, billing information, deposits, filing, VIP information, correspondence, etc.; interact with booking contacts as needed. Correctly record group rooms and revenue in the property management system.

* Support the Director of Sales in commercial strategies and group acquisition campaigns.



Qualifications & Skills

* Bachelor's degree in hospitality or related field.

* Previous +2 years' experience in group sales, event coordination, or hospitality sales, ideally within a luxury hotel environment.

* Must be fluent in local language and English, additional languages will be highly valuable.

* Experience with entertainment groups will be highly valuable.

* Strong communication and negotiation skills.

* Excellent organizational skills and attention to detail.

* Proactive, positive, energetic, dynamic, emphatic, team-worker and with passion for service.

* Ability to work and manage multiple projects simultaneously.

* Knowledge of hotel management systems (PMS/CRM, Opera, Delphi, or similar).

La persona seleccionada reportará al Jefe de ventas y se encargará de las funciones siguientes: Diseñar y ejecutar estrategias comerciales dirigidas a agencias y organizadores especializados en MICE (Meetings, Incentives, Conferences &amp; Exhibitions) para las propiedades de Barcelona, Madrid y Londres, identificando oportunidades de crecimiento y nuevos mercados. Estudiar y confeccionar promociones especificas (promociones MICE, Conference Package..) Mantenimiento y captación de nuevas cuentas.( DMC’s, agencias MICE, BTC’s) Representar a la compañía en ferias, workshops, presentaciones, eventos de networking y visitas de inspección. Ejecutar y realizar un seguimiento del plan de acciones del departamento. Mantener una colaboración constante con los equipos de hotel y otros departamentos corporativos como Revenue y Grupos. Coordinación y organización de eventos exclusivos para clientes. Gestión de plataformas de reservas de grupos (p. ej. Cvent). Análisis de resultados y elaboración de informes comerciales periódicos. JOB SUMMARY Directs the property’s Travel Industry Sales function verifying that client expectations and production goals are met. Selectively sells Travel Industry business in the interest of maximizing guest rooms and food and beverage revenue. Develops and implements sales and marketing programs and strategies for the Travel Industry Sales market. CANDIDATE PROFILE Education and Experience • 2-year degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management, or related major; 4 years experience in the sales and marketing or related professional area. OR • 4-year bachelor's degree in Business Administration, Marketing, Hotel and Restaurant Management, or related major; 2 year experience in the sales and marketing or related professional area. CORE WORK ACTIVITIES Supporting Developing and Executing Sales Strategies • Directs the property’s Travel Industry Sales function verifying that client expectations and production goals are met. • Works with sales leader to promote understanding of sales strategy and effective implementation of this strategy for the segment. • Works with management team to create and implement a sales plan addressing revenue, customers and the market for the segment led by the Director of Sales (DOS). • Assists with the development and implementation of promotions, both internal and external. • Actively participate where necessary on all special projects/events such as Site Inspections, Familiarization (FAM) trips. • Plans and participates in Sales trips and industry related meetings. • Participates in departmental sales meetings, relevant operational meetings and pre-cons. Maximizing Revenue • Provides positive and aggressive leadership to promote maximum revenue potential (e.g., sets example with personal booking goals). • Recommends booking goals for sales team members. • Directs the solicitation and business negotiation efforts to maximize room revenue and achieve sales goals. • Promotes the property’s inclusion into national and international accounts through tour wholesale operations, travel agent consortiums and airline operations. Managing Sales Activities • Monitors all day to day activities of direct reports. • Approves space release for catering to maximize revenue (e.g., Director of Sales (DOS), Group) in the absence of a Business Evaluation Manager. • Participates in sales calls with members of sales team to acquire new business and/or close on business. • Executes and supports the operational aspects of business booked (e.g., generating proposal, writing contract, customer correspondence). • Manages the orchestration of the International Travel program as it relates to business development and property package creation. • Partners with the marketing department to plan and direct a comprehensive marketing program to promote the property as a viable destination for travel industry market segments. • Selectively sells Travel Industry business in the interest of maximizing guest rooms and food and beverage revenue. • Develops and implements sales and marketing programs and strategies for the Travel Industry Sales market. Analyzing and Reporting on Sales and Financial Data • Analyzes market information by using sales systems and implements strategy to achieve property’s financial room and catering goals. • Assists Revenue Management with completing financial projections. • Reviews sales and catering guest satisfaction results to identify areas of improvement. • Develops and executes the annual Sales plan for the assigned market for all direct reports.
