GRUPO DERBY COLLECTION actualmente está en búsqueda de un/a Responsable de Eventos y de Reservas para el Cluster de Hoteles en Madrid. Misión del puesto : coordinar y gestionar todas las reservas de distinto tipo (habitaciones, salas de reunión, eventos…) que llegan a través de distintas vías al hotel de forma rápida y eficiente, ofreciendo una excelente atención al cliente. Además, es el responsable de asegurar que todos los canales de venta tienen la información de cupos actualizada y hay paridad de precios. Reporta a : Director/a del hotel y Director/a de producción. Funciones : - Gestión del departamento de reservas y eventos. - Implementar procedimientos de reservas y maximizar los coeficientes de conversión para alcanzar los objetivos del departamento de la mano del departamento de Operaciones corporativo. - Supervisar el trabajo del equipo de agentes de reserva para el funcionamiento eficiente del departamento. - Revisar las llegadas diarias, incluyendo reservas VIP, paquetes, asignaciones de habitaciones y comunicar a los departamentos pertinentes. - Administrar todos los canales de venta para asegurar que las tarifas y la disponibilidad se implementen y se introduzcan correctamente. - Gestionar reservas individuales y de grupos, así como los cupos y los depósitos. - Realizar cotizaciones, preparar presupuestos, así como contratos de eventos y MICE. - Gestión eficiente de la disponibilidad de habitaciones, revisando constantemente el nivel de ocupación y realizando previsiones adecuada para evitar situaciones conflictivas tales como sobreocupación. - Hacer seguimiento de las reservas, las cancelaciones y los no-shows para asegurar que se cobren según lo acordado. - Participar en el reclutamiento, gestión, evaluación y desarrollo del equipo. - Proporcionar informes semanales/mensuales sobre el desempeño del departamento. - Contribuir a la estrategia de venta del hotel y gestionar la adhesión de los departamentos a la consecución de esa estrategia. - Comunicación con el resto de departamentos, especialmente Front Office y F&B, para garantizar que se tienen en cuenta las peticiones de los clientes. - Construir relaciones fuertes con los clientes, los huéspedes y los miembros del equipo con el fin de obtener una comprensión completa de sus necesidades y trabajar para servir eficazmente. - Implementar y monitorear todas las promociones especiales.

About the role Four Seasons Hotel Madrid is currently seeking a passionate and dynamic Associate Director of Catering Sales to join the team! reporting to the Director of Marketing, this is an Assistant Department Head role. The Associate Director of Catering Sales is responsible for driving catering revenue growth and ensuring flawless event execution by actively prospecting and managing client relationships, supervising and developing the catering sales team, and collaborating with other hotel departments to deliver exceptional guest experiences. What you will do Actively prospect and solicit, develop, and maintain local corporate catering accounts through telephone, personal sales calls, trade shows, and on-site entertainment. Finalize the requirements of personally booked catering events while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Supervision of the Catering Sales staff in their day-to-day roles. Including maintaining and monitoring the accuracy and effectiveness of all written communications. These include but are not limited to: Banquet Event Orders, Resumes, Daily Events Report, Golden S&C Input Standards, and Guest at Leisure Reports. Finalize the requirements of personally booked or assigned Event bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. In collaboration with the Director of Conference Services, prepare with analysis the weekly 2-Month financial forecast, month end financial summaries, and contribute to the annual Marketing Plan and Budget. Complete periodic audits of the Account and Booking Data in Golden S&C, to include but not exclusive to Conflict Report, Account Traces, Post Conference Reports. Evaluate current sales / service practices and make recommendations to maximize the profitability of the Events resources. Develop single Event P&L for major on-site events. Oversee the quarterly administration and seek new ways to motivate and maximize revenues. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event. Supervise the execution of banquet events. Review all function space with banquet manager and when necessary head house attendant. Ensure satisfaction of client at the outset of all events. Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel. Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep the Director of Marketing and Planning Committee promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate. Drive Qualtrics responses and lead social and corporate event satisfaction. Monitor Meetings and Events website and take ownership of content and 3rd Party listings for corporate and social business. Actively participate as Catering representative in strategy meetings and lead catering pipeline meetings weekly. Understand lead volume by source and promotional efforts in place to increase leads. Set up and drive pre-con and post con interviews with focus on repeat business and P2P. Attend revenue management/forecast/strategy meetings. Shadow DOM in annual goal setting process and incentive reconciliation; prepare goal suggestion and review with DOM. Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments. Work with culinary team to create and/or revise banquet menus, including pricing and best in class product offering. Prepare / plan / organize and execute promotion initiatives such as corporate planner days / wedding planner events. Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning Event Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Bi-Monthly Board of Operations, Planning Visits, and Menu Tastings. Together with the Director of Marketing / Sales / F&B review and understand segmentation and specific needs of social and corporate meeting customers and continuously develop current offerings. In collaboration with the Director of Conference Service / the Director of Marketing and the Director of Finance manage all 3rd party contracts related to Catering & Events, ensuring superior product and service quality while maintaining Four Seasons Standards. Conduct performance evaluations and mentor, Catering Sales Managers / Executives and Coordinators to develop and prepare team members for future promotion and possible transfer within Four Seasons. Facilitate and monitor training, recommend the hiring, terminating, or disciplining of any Catering employee. Respond according to the crisis management plan to any resort emergency or safety situation. Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee. What you bring A minimum of five years’ experience in Catering / Event Sales. A (4) year college/university degree (or equivalent). Great personal and business references required. Excellent communication skills and a strong, innovative mindset. Strong community relations. Ability to motivate and lead a team of professionals. Reporting into the Director of Catering Sales, you will be responsible for booking a variety of event business and coordinating with all department staff involved in fulfilling the needs of events and guests. You will prospect, sell, plan, and service both corporate and social events while upholding food and service standards and maximizing revenue and profit potential. What you will do Actively prospect and solicit, develop, and maintain local corporate event accounts through telephone, personal sales calls, trade shows, and on-site entertainment. Demonstrate appropriate timeliness in getting proposals to client. Assist with all inquiries within the sales, marketing and catering department, including assistance with high telephone volume and walk-in site inspections. Research new market opportunities and develop strategies to penetrate companies or organizations likely to produce business for the hotel, and to invite potential users to tour the property and conduct individual tours, highlighting the facilities and services and achieve maximum revenue/profit potential white satisfying client needs. Coordinate the sales efforts between sales department and catering to ensure proper utilization of function space to yield maximum revenues. Maintain Knowledge of hotel facilities, bedrooms, capacities and dimensions of meeting spaces. Continuously update Golden Sales & Catering with the events information (room hire, catering services and menu’s). Prepare Banquet Event Orders and issue them as per Four Seasons standards. Attend the BEO meeting with hotel staff. Attend regular operational meetings to ensure effective coordination and cooperation between departments Be the liaison between the client and the hotel for all of the client needs. (catering and events, audio visual, transportation, off-site event recommendations). Ensure and supervise the successful execution of the event in compliance with Four Seasons standards. Communicate to, coordinate and motivate, all other departments so all client needs are exceeded. Find solutions to the inevitable challenges and glitches that arise while the clients are on property. Enhance all food and beverage programs, Audio Visual and room hire for each client by upselling additional services in order to maximize revenue. Maintain accurate revenue for all streams in Golden Sales & catering for precise weekly and monthly forecasts. If required by Director of Catering, contribute to the preparation and analysis of the Event services weekly forecast and month end financial summaries. Achieve yearly personal and team sales booking goals. Ensure accuracy of Banquet Checks provide bill review on completion of each program. Facilitate and monitor training of catering trainee, catering coordinator, catering executive and new team members. Contribute to the preparation and analysis of the event services weekly forecast. Wedding Prospects with high contract conclusion percentage. Sales call for wedding agency/planners and keep relationship with them. Maintain a competitive edge over the competition by consistently being creative in developing new menus, theme party ideas and new ways to attract new and repeat business Perform other tasks or projects as assigned by Director of Catering. What you bring Minimum 3–4 years of demonstrated expertise in managing high-end events, preferably at luxury 5-star hotels. Proven experience managing both corporate and social events (weddings, banquets, conferences, MICE, etc.). Strong knowledge of budget management, client negotiation, and contract closing. Willingness to work flexible hours, including evenings and weekends. Fluent in Spanish and English; an additional language is a plus.
